We’re Hiring an Outreach Coordinator
Summary:
The Outreach Coordinator has responsibilities of administering the A Matter of Balance program in all 10 counties in PSA 03. Oversee the implementation of the Powerful Tools for Caregivers in 4 counties in PSA 03. Oversee the implementation of the T-Care program in all counties funded to provide it. Oversee the Dementia Friendly Community Initiative and attend meetings with key community leaders and members. Represent WIAAA at outreach events and service meetings and assist with the RFP scoring process during a full procurement year.
Along with all program staff, this position works as a part of a team within WIAAA to address agency priorities and to develop other programs that contribute to the mission of WIAAA.

Specific Duties and Responsibilities:
A Matter of Balance
Obtain and maintain certification as a Coach and Master Trainer for “A Matter of Balance”.
Teach at least two participant classes per year.
Teach at least one coaches training per year.
Recruit and coordinate Coaches Training for MOB in the WIAAA planning area for all 10 counties.
Recruitment of coaches through a variety of methods utilizing flyers, press releases, mailings, public presentations, etc. to appropriate audiences.
Schedule and administer Coach training sessions including location, obtaining materials, arranging lunch, communication, etc.
Assure that new coaches are paired with experienced coaches to lead their first class.
Complete required observation of new coaches. Complete ongoing monitoring of experienced coaches with one observation per year.
Schedule and facilitate the annual coaches meeting/training for all coaches annually.
Plan and coordinate classes in the WIAAA planning area.
Plan and coordinate classes in all 10 counties including scheduling, assigning coaches, finding locations, publicity, obtaining materials, etc.
Recruit guest professionals meet with them to explain the program and schedule them for the appropriate session during the class.
Oversite of workshops especially with new coaches and periodic checks on experienced coaches by attending at least one workshop for each coach to assure fidelity to the curriculum.
Responsible for all data input and tracking of program results both in the national data base and for WIAAA internal data base, grant tracking and reporting.
Caregiver
Review monthly narratives sent in by providers, identify any emerging issues.
Plan and coordinate quarterly Caregiver Trainings, using the monthly narratives as a guide for topics, trends, issues.
Annually, compile and submit 3 Caregiver stories to IDoA about Caregivers in PSA03 by the end of the fourth quarter.
Powerful Tool for Caregivers
Develop an implementation plan for the program in PSA 03.
Create and/or disseminate informational material for agency and provider websites and social media accounts to market the program.
Attend the Stress Busting Training and subsequent certifications.
Provide the Stress Busting Training to PSA 03 providers 1 time per year, and then as needed to keep CFP staff certified.
Provide technical assistance for this class to all 10 counties is PSA 03.
Complete all reporting requirements.
Oversee the T-Care Initiative
Provide technical assistance as needed to CFPs funded to provide T-Care.
Attend all training sessions leading up to implementation for new CFPs.
Communicate with CFPs and T-Care on a regular basis, setting meetings when necessary, to keep communication open.
Complete all required reports for Illinois Department on Aging.
Oversee Dementia Friendly Community Initiative
Work with Bureau County Senior Citizens Center (BCSC) to continue their Dementia Friendly efforts in Princeton.
Work with Rock Island County Senior Center to build and secure Dementia Friendly Communities in Rock Island and Moline, as part of the Bi-State initiative.
Attend meetings with RICSC to meet with key community leaders and members to discuss the initiative.
Work through the Phases in the Dementia Friendly Toolkit and take recommended steps under each phase.
Communicate with RICSC on a regular basis and set regular meetings both in person and over the phone.
Complete all the above steps with additional counties added in forthcoming fiscal years.
Complete all required reports for Illinois Department on Aging.
Represent WIAAA at Outreach Events and Service Meetings
Represent WIAAA throughout the planning area at county Human Service Councils meetings. Compile a summary of relevant information discussed at meetings to share with all staff.
Participate in health fairs and other community events and making community presentations.
Assist with the RFP scoring process During A Full Procurement Year
Work with the Assistant Director and Lead Program Coordinator to score submitted RFP applications from providers.
Assist with the Annual Program Compliance Review for Provider Agencies
Assist the Lead Program Coordinator in completing the program reviews including review of all nutrition service providers. Ensure that all reviews are fully completed in a timely manner.
Assist the Lead Program Coordinator with a portion of the annual onsite Mid-Year Review (after the close of the 2nd quarter) for providers.
Ensure compliance by providers with required tracking and reporting.
Assist in the quarterly preparation for the Annual Program Review of all funded providers.
Obtain AED certification.
Obtain and keep AED certification up to date to facilitate the use of WIAAA’s AED machine, should it be needed.
Participate in WIAAA Agency Wide Priority Projects as Assigned
Participate in special events that apply to the Agency as a whole.
Function as a part of a team focused on addressing changing priorities in WIAAA and the aging network including evidence-based programming, and other emerging trends as they arise.
Assist in the planning and delivery of annual mandatory training for Nutrition Providers
Assist in the planning and delivery of Information and Assistance (I & A) and Outreach training for providers.
Represent WIAAA throughout the planning area including health fairs and other community events to include making community presentations on OAA services.
Review pertinent information from a variety of sources to stay current on information and trends affecting older adults and services.
Qualifications
B.A. degree in Social Service or related field
Two years’ experience in social service field.
Demonstrated computer skills, including e-mail, word processing, database management, and spreadsheet programs.
Ability to travel, occasionally overnight.
